When the same complaint appears in review after review, it is tempting to write a better reply. Replies matter – but they treat the symptom.
## Look for the pattern
Group your last 30–50 reviews by theme: arrival, room, cleanliness, noise, breakfast, staff, value, communication. The themes that repeat are your real agenda.
## Find the cause
For each repeated complaint, ask where in the guest journey it starts:
- Booking – did the website or listing set the wrong expectation?
- Pre-arrival – was important information missing?
- Reception – was there waiting, confusion or a cold welcome?
- Housekeeping – is a standard unclear, or is time too short?
- Communication – did the guest know who to ask?
## Fix, then reply
Fix the cause, then reply to reviews explaining what you changed. The next guest reads that – and it builds trust.
